BOOKING POLICIES

RESERVATIONS |
All reservations and bookings should be submitted in writing by fax (+511-6512202), e-mail or letter. ANDEX ADVENTURE will respond in the same way. The reservation will be held on a tentative basis until deposit is received from the client. All reservations will be guaranteed only upon receipt of such deposit.
A - INDIVIDUALS:
An individual reservation is considered to be a number less than or equal to 10 passengers. A deposit of 40% of the total value will be required with each reservation. The remaining balance will be due 30 days prior to arrival of passenger.
B - GROUPS:
A Group is defined as having a number of passengers greater than 10. A deposit of 50% of the total reservation value will be required with each reservation. The remaining balance will be due 75 days prior to arrival of passengers.
C- INCA TRAIL/ALTERNATIVE TREK
In order to make a reservation onto the Inca Trail, we require the following:
1) Full Passport Details of each Traveler, i.e. Full Names / Passport No / Nationality / Date of Birth. This is a requirement of the INC (Institute of National Culture) and without these details no reservation can be made.
2) 50% Deposit towards the total of the Trek. This deposit is not refundable. This is to cover your initial registration fees at the INC. We have various payment options available and to speed up your reservation I have attached them for you. You will note that there are Three options of Inca trail, in addition pay attention to book your porters in advance . It is absolutely essential that you also tell us if you will be requiring Porters to carry your luggage as we also need to obtain Permits for our Porters!!
3) 29-14 days, it is not refundable the deposit of 70%
4) 13- 8 days, it is not refundable the deposit of 80%
5) 7days or less, the 100% as deposit is not refundable, please be aware about it

PAYMENTS |
All payments are due in full 30 days prior to departure. Andex Adventure reserves the right to cancel the booking and impose cancellation charges should the payment not be received by the established date. A non-refundable deposit of 40% is due within 15 days after the receipt of our invoice. If a booking is made less then 45 days before the departure date, full payment of the balance must be made before the passenger arrival. Andex Adventure will send the detailed itinerary to The Client within 3 business days of having received the first 40% deposit.

A service fee applies to all transactions and is 6%.

DO NOT HAVE A PAYPAL ACCOUNT?
If you do not have a PAYPAL account, you can easily set one up or we can email you a request for funds from our account whereby you can use your Visa Card to make payment to us.
(2) Transfer via Western Union into the name of CARLA MARLENE BARRIENTOS BURGA, Andex Adventure, Av Paseo Republica 1730, Lima, Peru (Tel:+51 1 6512202). If you use this method, please provide us with the Reference No. that Western Union quotes you for collection purposes. This is an effective way of transferring money across to Andex Adventure as it is almost instantaneous.
You can also transfer online via their website (www.westernunion.com).

Note: Western Union has their own commission charges that vary from country to country.

If you hold a Banking Account with MERRILL LYNCH or BANK OF AMERICA please add on another $15 to the commission charge, ie $65. This is because the intermediary Bank is Bank of America and they charge extra for international bank transfers and it is a hidden charge. We are not liable for this.

Notes of Deposits and Balances |
(1) Deposits are based on the following:
Flight Reservations: 100% deposit required
Hotel Reservations: 80% deposit required
Personal Itineraries: 40% Deposit required
Inca Trail & Alternative Trek Reservations: 50% Deposit required
Upon sending your deposit please send us an email notifying that you have sent your deposit and which method you utilised. As soon as we have receipt of funds
we will send you an email confirmation. This is your Guarantee of Services.
(2) Final Balances
We kindly ask that all final balances are to be paid in the following manner:
Inca Trail & Alternative Trek Reservations: 1-2 days prior to trek departure in Cusco
in US Dollar cash. Please ensure that your Dollar Notes do not have any rips, tears,
holes in them as these notes are not accepted here in PERU.
Personal Itineraries: 60% balance to be paid 1 month prior to departure date using
the same method of transfer utilised for sending the deposit.

MODIFICATIONS TO YOUR BOOKING |
Any modifications to the original booking must be confirmed in writing via email. Any costs or charges, which we incur or which are incurred or levied by our service providers as a result of the modification, will be charged to the passenger. Whilst every reasonable effort will be made to accommodate changes and additional requests, availability cannot be guaranteed.

SUBSTITUTION OF A PASSENGER |
If any member of a party is prevented from traveling, it may be possible to transfer the booking to another person provided that written notice is given at least 30 days prior to departure. An administration fee of US$50 will be levied plus any costs imposed by ourselves or our service providers. Airlines may impose 100% cancellation charges and the cost of a new ticket.

CANCELLATIONS |
The Client may cancel the booking at any time. Notice of cancellation must be made in writing to Andex Adventure. If notice of cancellation is received by Andex Adventure 42 days or more prior to departure, only the non-refundable deposit will be retained. The following scale of charges will apply when notice of cancellation is given after the booking is confirmed:

If only part of a booking is cancelled, the remaining party may be responsible for additional charges (e.g. under-occupancy, or single room supplements). If airline flights are cancelled after tickets are issued, change fees, or Airline cancellation fees up to 100% will be applicable and may be in addition to the above cancellation charges.

MEDICAL INSURANCE PLAN |
WE STRONGLY RECOMMEND THE USE OF A TRAVEL/ MEDICAL INSURANCE PLAN.
We recommend that you protect yourself with travel insurance covering accident, trip cancellation, and emergency evacuation, available from any travel agency. Our trip costs do not include these kinds of insurances.
Limited insurance is available in Peru with local insurance companies and international travel insurance companies. Daily rates range from $2.00 - $8.00, depending on coverage requested. We prefer not to get involved with supplying these services, since it is easier and less expensive to purchase this kind of coverage abroad, at your point of origin; although we are willing to acquire coverage for you upon request. If a member of the group gets sick or is incapacitated, we take care of him by getting a qualified doctor to him/her, in these cases extra costs are assumed by the individual client, including hospitalization if necessary. In the case of accident and/or necessary emergency evacuation, all expenses will be covered by the individual.

COMPLAINTS |
If a Passenger has a complaint about any of the tour arrangements he/she must bring it to the attention of the Guide or a representative of Andex Adventure at the time so that they may endeavor to rectify the situation. We can only rectify problems if we are made aware of such problems. Failure to complain immediately will prejudice the Passengers right to claim compensation. Should the problem remain unsolved a complaint must be made in writing to ourselves within no more than 14 days of the completion of the holiday.

RESPONSABILITIES |
ANDEX ADVENTURE reserves the right to modify or withdraw any travel arrangements when deemed necessary, in the best interest of our clients. We reserve the right to refuse, accept or retain any person as a member on any of our trips. Baggage is carried at owner's risk throughout the tour.
ANDEX ADVENTURE acts only in the capacity of an AGENT upon the legal conditions that, while exercising every possible precaution, ANDEX
It is the responsibility of the Passenger to be in possession of a valid passport, visa permits, proof of inoculations and preventive medicines as may be required for the duration of the tour. Information about these matters or related items is given in good faith but without responsibility on the part of ourselves.
ADVENTURE is not responsible for injury, sickness, damage, loss, additional expenses, accidental delay or other irregularities which may be caused either through willful or negligent acts or omissions on the part of companies or individuals providing or engaged in transportation, accommodation or other services related to the accomplishment of the tour, or through natural disasters, social upheavals or acts of nature. The company recommends obtaining the following types of insurance in this order: Travel insurance, Life insurance for accidents or incapacity, Medical evacuation insurance.
